Every external renter must carry general liability coverage of at least $1,000,000 and provide a Certificate of Insurance (COI) naming "Chabot-Las Positas Community College District, its trustees, officers, agents and employees" as additional insured. Certificate holder: Chabot College, 25555 Hesperian Blvd, Hayward, CA. Due 30 days before your event.

Terms & Conditions

These are the terms of your rental. Open each section to review it — your submission records which sections you viewed, and your signature below confirms agreement to all of them.
§ 1 Reservations & Priority of Use Not viewed
  • Requests must be submitted at least 14 days before the intended date of use. Approval is based on availability, priority of use, and alignment with College objectives.
  • Priority order: (1) Chabot College academic and athletic events; (2) College affiliates (student organizations, faculty, staff); (3) community groups and outside organizations.
  • An approved request results in a Facility Use Agreement and confirmation issued by the Athletic Department. This form is an application for use only — confirmation and invoice follow under separate cover.
  • Use of College facilities must comply with the rules and regulations of the Board of Trustees of the District as stipulated in Governing Board Policy No. 6700.
  • No sub-renting or transferring your rental time to another group without approval from the Facilities Coordinator or Athletic Director.
  • The Athletic Department reserves the right to make final decisions on all facility use, including modifying or denying requests.
§ 2 Payment, Late Fees & Collections Not viewed
  • Payment is due the week of the event unless otherwise agreed in writing. Fees vary by facility, event type, and duration per the Facility Fee Schedule.
  • Late fee: payments not received by the due date are assessed 20% of the outstanding balance for each week overdue.
  • Balances unpaid after 30 days incur an additional 20% late fee on the outstanding balance.
  • Balances unpaid after 60 days may result in suspension of facility access, cancellation of existing reservations, and referral to a collections agency — with the renter responsible for all collection and legal costs.
  • Non-payment cancels the reservation; advance payments may be forfeited. Renters with outstanding balances may be refused future bookings.
  • Payment extensions: must be requested at least 10 days before the due date and are granted at the department's discretion.
§ 3 Insurance Requirements Not viewed
  • Minimum $1,000,000 general liability and property damage coverage indemnifying the District.
  • COI must name as additional insured: "Chabot-Las Positas Community College District, its trustees, officers, agents and employees." Certificate holder: Chabot College, 25555 Hesperian Blvd, Hayward, CA.
  • COI is the responsibility of the renter and must be on file 30 days before the event. No COI, no access.
  • Additional coverage may be required for contact sports, large public events, or other higher-risk activities.
§ 4 Parking & Campus Access Not viewed
  • All vehicles must park in designated campus lots. Campus parking regulations are enforced at all times, including evenings and weekends; daily permits, where required, are available at lot permit machines.
  • No parking or staging in fire lanes, service roads, walkways, or on any athletic surface. No vehicles on turf, track, courts, or pool deck at any time.
  • Team buses, trailers, and vendor vehicles must be coordinated with the Athletic Department in advance for staging and drop-off locations.
  • Only individuals authorized under the Facility Use Agreement may access reserved spaces; renters are responsible for keeping their group within the reserved areas.
  • The renter is responsible for communicating parking instructions to all participants and spectators. Citations issued by Campus Safety are the vehicle owner's responsibility.
§ 5 Conduct & Acceptable Use Not viewed
  • All users must conduct themselves respectfully and safely. Disruptive or unsafe behavior may result in immediate termination of the event and loss of future facility access.
  • No smoking, vaping, alcohol, or illegal drugs anywhere on campus unless permitted by law and approved in advance by the Athletic Department.
  • Clean-up: facilities must be left clean and in good condition. Unsatisfactory conditions result in additional cleaning fees.
  • Damage: renters are financially responsible for all damage to facilities or equipment and must report damage immediately.
  • Activities inconsistent with the mission of Chabot College or posing a safety risk may be denied. A College representative may be required on site for larger or higher-risk events, at the renter's cost.
  • Large or complex events may require a detailed event plan covering staffing, security, and emergency procedures, coordinated with Campus Safety and Facilities.
§ 6 Synthetic Turf Field Rules Not viewed
  • Footwear: rubber or molded plastic cleats only. Metal spikes, high heels, and sharp objects are prohibited.
  • Prohibited on turf: sunflower seeds, nicotine pouches, gum, food, and all beverages except water and sports drinks in sealed containers.
  • No pets or animals (service animals excepted). No vehicles, bikes, carts, or motorized equipment.
  • No paint, chalk, or marking materials — all field markings are done by the Athletic Department or approved personnel.
  • Only turf-appropriate equipment may be used. Report any damage immediately; repair or replacement costs may be charged to the renter.
§ 7 Olympic Pool Rules Not viewed
  • A certified lifeguard is required at all times — no exceptions. Chabot College provides lifeguards for pool rentals; lifeguard staffing is arranged by the Athletic Department as part of your rental and may carry staffing costs reflected in your quote.
  • If the College cannot staff your event, you may hire your own lifeguards with advance approval from the Athletic Department. Renter-provided lifeguards must hold current lifeguard certification, and proof of certification must be submitted to the department before the event. No lifeguard on deck, no water entry.
  • All swim meets require at least two lifeguards.
  • Only water and sports drinks in sealed containers on the deck — no food, gum, or other beverages.
  • Do not move lane lines without permission or supervision. Only pool-appropriate equipment may be used.
  • No smoking, vaping, alcohol, or illegal substances. No pets or animals (service animals excepted).
§ 8 Cancellation, Rescheduling & Refunds Not viewed
  • By the College: Chabot College may cancel or reschedule due to maintenance, weather, or College events. Renters are notified as soon as possible and offered an alternate date or refund.
  • By the renter: cancellations 14+ days before the event may be eligible for a partial refund. Cancellations less than 10 days before the event are non-refundable.
  • Rescheduling: requests must be made at least 14 days in advance; additional fees may apply.
  • If late payment results in cancellation, refund rights may be forfeited under the cancellation terms.
§ 9 Liability & Indemnification Not viewed
  • Renters agree to indemnify, defend, and hold harmless Chabot College, its employees, and agents from any claims, damages, or liabilities arising from use of its facilities.
  • The College is not responsible for personal injury, loss of property, or other unforeseen circumstances during the rental period.

Agreement & Signature

By typing your name and submitting, you are signing this agreement electronically. Your electronic signature carries the same legal effect as a handwritten signature, and a timestamped record of this agreement is retained by the Athletic Department.
